You are hiring a video producer to produce a DVD video of your event or special occasion. Prior to booking, you as the client (the hirer), will have satisfied yourself what it is you require and the product being delivered. Alternatively, we will advise you prior to booking. Upon booking and hiring, we undertake to: 1. If time and location allow, meet with you to discuss your event and what you require - how we might achieve your requirement. 2. When possible, visit your location in order to assess its technicalities. Hire & Bookings: Moving Memory Professional Video requires a deposit of 50% (fifty per cent) of the total package price (including any additional amounts agreed) in order that the booking or hiring date(s) can be confirmed. We will email you upon the receipt of your deposit payment confirming the date and location of your event. We ask you to check our confirmation email to assure yourself that the date(s) and location are correct. Should you discover the date (or location) as given in our confirmation to be incorrect, then we ask you to email us immediately at This e-mail address is being protected from spambots. You need JavaScript enabled to view it or telephone us on 01733 212797 to correct the information given. Otherwise the information is deemed to be correct and we will proceed accordingly. The remainder of the package price (50%) including any additional sums agreed must be paid for seven (7) days before your event date. Failure to do so will result in your cancellation of our services and agreements. Refunds & Changes: Deposits are non-returnable. However, we will consider every situation on its merits and circumstances. On rare occasions a location might provide technical difficulties and prevent us from meeting your requirements. We will advise you accordingly following our visit to the location should this be the case. If we believe the location will not allow us to undertake the services you require, and we cannot mutually agree changes, we will refund your deposit payment. This does not apply to situations when and where we have not evaluated the locations required due to short time spans or distance, or for any other reason. The person hiring our services needs to be assured that a location is suitable prior to booking and permission to record has been obtained from the location owners. If there is any doubt, we ask the client to discuss this with us prior to booking. Changes to the date of hiring following our confirmation email and following a cooling off priod of seven (7) days from our confirmation email date can only be considered if an alternative date is available. Permissions & Copyright: Location: Moving Memory Professional Video cannot be held responsible for any licenses, permissions or payments to third parties in order to undertake its services on behalf of the client other than those agreed at the time of booking. Moving Memory Professional Video cannot be held responsible for situations arising concerning no permission to film, video or record at a location, or if location restrictions are imposed which prevent us from fulfilling our services as agreed. We ask our clients (the hirer) to make sure they have the correct and relevant permissions from the event location owners prior to the event date. Wedding officials may limit access of video cameras in certain locations. It may well be the position allocated by the official might not provide the best coverage of the wedding ceremony. In such situations we will undertake our services in the best possible way under such circumstances. We will aim to co-ordinate with officials in order to achieve the best possible outcome. Moving Memory Professional Video must be notified by the hirer should any restrictions or permissions to film, video, or record, be in doubt or not granted to the hirer. Music: Information concerning performance rights for the music for hymns, discos and other live or recorded music recorded at the event location can be obtained from: http://www.theiac.org.uk/central/copyright-clearance-scheme.htm Permission and license to use music for a wedding video can be obtained from: Licences are granted to the individuals responsible for the event, they are not granted to Moving Memory Professional Video. The licence fee payable is often about £20 for quantities of up to 5 DVDs for personal viewing. Production Running Times & Content: Depending upon the event and the material recorded, programme running times (the total duration of the DVD content) is generally between 40 to 80 minutes in length. This is for guidance only as times, on occasions, could be slightly less due to available light or suitability of the location, and of the nature and circumstances of the event itself. The Platinum Lite option offered may typically be 25-45 minutes in duration. We aim to provide content that reflects the event as it happened, albeit in an edited form. DVD programme content may not be event real time, but an edited representation or sequence of events. The DVD is an edited artistic production, the hirer grants Moving Memory Professional Video editorial decision-making for the produced content and no guarantee is made to include specific shots recorded on the day. Editorial Error: An editorial error will be corrected and DVDs re-supplied provided any error is reported to us within seven (7) days from the receipt of the DVD. We will review the content and discuss any issue with you. Changes to the content as supplied in the DVD will not be made, other than as a result of an agreed editorial error. General: The hirer grants Moving Memory Professional Video usage rights of any material filmed or produced for publicity and marketing purposes. DVD programme content is supplied to the client (the hirer) for personal use only. The hirer agrees not to broadcast, distribute, or publish directly or through a third party either by Internet, Television, Radio or Printed Media, the material produced, except by the written permission of Moving Memory Professional Video. It is possible to obtain broadcast clearance music tracks will require a license to use for broadcast purposes. Contact us for advice concerning this.
